1. General Policy

Vortex Team LLC (“Company,” “we,” “us,” or “our”) is committed to providing transparent and fair refund and cancellation procedures for its professional information technology, software development, cloud configuration, API integration, and consulting services.

This Policy applies to services purchased through our website, approved invoices, or authorized Company representatives.

This Policy supplements Section 9 of our Terms and Conditions of Service (“Service Agreement”) and must be interpreted consistently with that Agreement.

2. Cancellation Before Services Begin

Clients may request cancellation before substantive work has commenced.

When cancellation occurs before work begins, the Company will refund the payment received, less any reasonable, documented, non-recoverable third-party expenses that were expressly disclosed to and approved by the Client before being incurred, where permitted by applicable law.

No charge will be retained solely because an order or initial payment was submitted.

3. Cancellation After Services Have Started

If the Client requests cancellation after substantive work has commenced, the Company may retain reasonable payment corresponding to services actually performed before cancellation, based on the agreed project scope, documented milestones, or another calculation method agreed with the Client.

The Company may also deduct previously authorized, documented, non-recoverable third-party project expenses.

Any remaining prepaid balance attributable to services not performed will be refunded.

The Company will provide a reasonable itemized explanation of retained amounts upon request.

4. Completed Services

Payments for services that have been fully and properly completed in accordance with the agreed scope are generally non-refundable.

However, Clients remain entitled to applicable remedies if services have not been delivered as agreed, materially fail to meet the agreed specifications, or where a refund is required by applicable law.

5. Service Delivery and Completion Timeframes

The standard estimated completion period for ordinary service projects is 10–15 business days, unless otherwise specified in an accepted proposal, invoice, or Statement of Work (SOW).

The project timeline begins after the Company has accepted the order, confirmed the agreed initial payment, approved the project scope with the Client, and received the necessary project materials and access.

Business days exclude Saturdays, Sundays, and applicable U.S. federal holidays.

Complex or customized projects may require an individually agreed delivery schedule.

The Company will communicate material delays and provide updated estimated completion dates.

6. Services Not Delivered or Materially Defective

If the Company cannot deliver the agreed services, the Client may request an appropriate refund for the unperformed portion of the project.

If delivered services materially deviate from the agreed specifications, the Client may notify the Company and request a review.

Where appropriate, the Company will provide reasonable corrective work, a partial refund, or a full refund, depending on the circumstances and applicable legal requirements.

The Company will not unreasonably substitute service credits for a monetary refund to which the Client is legally or contractually entitled.

7. Project Review and Acceptance

Upon completion, the Company will provide the agreed deliverables or a written completion notification.

Clients are requested to review the deliverables and report material deviations from the agreed scope within five (5) business days.

If no response is received during that period, the Company may record the deliverables as administratively accepted, provided they were delivered and the Client had a reasonable opportunity to review them.

Administrative acceptance does not remove applicable legal remedies for defective, incomplete, or undelivered services.

8. Third-Party Expenses

Some projects may involve additional hosting, licensing, cloud infrastructure, API subscriptions, or other third-party expenses.

Such expenses will be disclosed before authorization.

Previously approved, documented, and non-recoverable third-party charges may be deducted from a cancellation refund where permitted by law.

Recoverable third-party expenses will not be retained merely because they were initially allocated to a project.

9. How to Request a Refund

Clients may submit a refund or cancellation request to support@vorteeex.com.

Please include: full name and contact email; invoice or order number; description of the purchased service; reason for the request; and relevant supporting documentation, where appropriate.

The Company may request additional information reasonably necessary to identify the transaction and process the request.

10. Refund Review and Processing

The Company aims to review and respond to refund requests within five (5) business days.

Approved refunds will generally be initiated within ten (10) business days after approval.

Refunds for card payments will ordinarily be issued to the original payment method used for the transaction, unless otherwise required by law or directed by the authorized payment provider.

The time required for the refund to appear in the Client’s account depends on the receiving financial institution and payment provider.

Any mandatory statutory refund deadline will take precedence over these general processing estimates.

11. Recurring Services

Recurring maintenance, managed technical support, or subscription services, where offered, may be subject to separately disclosed billing cycles and cancellation terms.

Any recurring charges, renewal terms, cancellation deadlines, and refund limitations must be expressly presented to and accepted by the Client before subscription authorization.

A project-based payment does not automatically authorize recurring billing.

12. Payment Disputes and Customer Rights

Clients are encouraged to contact the Company regarding billing errors, service delivery issues, or refund requests so that the matter can be investigated promptly.

Nothing in this Policy limits the Client’s lawful rights to dispute unauthorized charges, billing errors, or services not provided as agreed.

Nothing in this Policy excludes mandatory rights or remedies established by applicable law.

13. Policy Updates

The Company may update this Policy to reflect changes in services, business operations, or legal requirements.

Updated versions will be published on our website with the applicable effective date.

Changes will not retroactively alter material refund rights under an already accepted service order without the agreement of the affected parties, except where required by law.
