This Delivery Policy governs the timeline, deployment workflows, and acceptance criteria for all software codebases, technical documentation, architectural builds, and managed support tasks delivered by Vortex LLC. Because our services are entirely digital and infrastructure-driven, we operate on a structured, code-tracked deployment framework.

1. Digital Service & Code Delivery

Vortex does not deliver physical products. All custom software engineering, API integration scripts, and system configurations are delivered entirely via secure cloud infrastructure and distributed version control systems:

  • Repository Access: Source code is committed to dedicated, secure repositories (e.g., GitHub, GitLab, or Bitbucket) owned by or provisioned directly for the client. Final ownership transfer occurs upon milestone sign-off and payment clearance.

  • Deployment Environments: Software deliverables are systematically deployed to agreed-upon staging or production environments (such as AWS, Google Cloud, or dedicated VPS networks) according to the project timeline.

2. Project Milestone Delivery Workflows

To maintain absolute transparency and velocity, major engineering undertakings are divided into structured sprints and delivered sequentially:

  • Staging & Sandbox Review: Before any codebase or integration goes live on production systems, it is deployed to an isolated staging environment. The client will be provided with temporary secure endpoints to review functional performance in a sandbox setting.

  • User Acceptance Testing (UAT): Upon delivery of a milestone environment, the client is granted a predefined UAT window (typically seven business days, unless specified otherwise in the SOW) to audit the software configurations against the technical requirements document.

  • Production Cutover: Once the client explicitly provides written approval of the staging build, our engineering leads execute the live deployment strategy, ensuring data parity, zero-downtime traffic routing, and robust configuration logging.

3. Technical Support & SLA Delivery Timelines

For clients actively utilizing our Technical Support or Proactive System Maintenance agreements, service tickets and maintenance alerts are delivered under strict priority-based time horizons:

  • Priority 1 (Critical Outage): Core production systems down or completely unavailable. Diagnostics and emergency patch engineering commence within 1 hour of intake, running continuously until restoration.

  • Priority 2 (High Impact): Critical system features degraded or third-party API sync chains breaking. Remediation and triage begin within 4 hours.

  • Priority 3 (Routine/Standard): Non-blocking bugs, scheduled dependency updates, minor configuration changes, or general advisory tickets. Addressed within 24 to 48 hours during normal engineering desk operations.

4. Documentation & Handover Protocols

No technical system is considered fully delivered without proper operational clarity. Final project completion and delivery includes:

  • Architecture Blueprints: High-level system topology diagrams illustrating data pipelines, middleware layers, network boundaries, and access roles.

  • API & Integration Schemas: Thorough documentation detailing data models, endpoint payloads, webhooks, and authentication flows necessary for long-term internal maintenance.

  • Handover Briefings: A dedicated technical walkthrough session conducted by our lead architects to transition operational knowledge smoothly to your internal IT or engineering staff.

5. Delays & Dependency Management

The successful and timely delivery of complex digital infrastructure relies closely on collaborative velocity. Vortex is not liable for delivery timeline slippage caused directly by external client-side dependencies, including:

  • Delays in granting our engineering team necessary API keys, repository permissions, or cloud credentials.

  • Unannounced modifications made to upstream software environments or core internal databases by client-side personnel during an active project lifecycle.

  • Extended response delays during critical User Acceptance Testing (UAT) windows.
